<p>The ideal candidate will be driven, customer service-oriented, and successful in a team environment. The Marketing Assistant will be involved in meetings focused on developing and documenting marketing projects and initiatives. The position requires a willingness to contribute to the marketing process. Documenting meetings and distributing appropriate documents to departmental employees is an essential function of the position.</p>
<p>Duties include: answering departmental phone calls; purchasing of office supplies; distributing mail; scheduling appointments; distributing flyers/posters around campus; assisting in various projects in the marketing department; and other day-to-day activities as assigned.</p>
<p>Bachelor’s degree is preferred, however a candidate that is working toward a bachelor’s degree will be considered. This position requires the highly qualified office assistant to have strong written and verbal communication skills. A minimum of one to two years in administrative work is also required. Ideal candidate will be open to learning new concepts and procedures. Candidate will also be a self-starter, problem-solver, and collaborative team player.</p>
<p>Proficient in Microsoft Office applications. Proficiency in desktop publishing (InDesign) a plus.</p>

The Instructional Designer works to ensure that a high standard of instructional design is maintained throughout the life of each online learning development project.  The Instructional Designer is a resource for faculty and staff to promote effective teaching and learning through the use of technology and on-line applications as part of the learning curriculum. </p>
<p>Qualifications for the position include: A Bachelor’s degree in Instructional Design, Instructional Technology or related field with a minimum of three years work experience in the field of Instructional design or Instructional technology with a Masters Degree in Instructional Design or Instructional Technology preferred. <p>RESPONSIBILITIES: Reporting to the Assistant Dean for Graduate Enrollment Management, the incumbent will have responsibilities in four major areas. First, the <span id="more-863"></span>position will provide technical PeopleSoft Student Administration (SA) support to the Graduate School and over 40 graduate programs, which includes admissions, graduation, and other applications. This work is on-going as new programs are created and as staff need new and refresher training. Time will be spent with Graduate Program Directors (GPDs) and Graduate Program Coordinators (GPCs), helping them take full advantage of the functions of SA. The Graduate School has an on-going mission to streamline and simplify its processes. Second, the incumbent will support the Office of the Vice Provost and Dean of the Graduate School with data collection efforts using, for the most part, Report EXchange (REX) and SA queries. Included in this activity is assisting the graduate program staff and GPDs in using data to facilitate their day-to-day decision making and future enrollment planning. Third, the Technology Coordinator will work with the SA Functional Team on the day-to-day management of SA including upgrade testing and help/support ticket management. Finally, the incumbent will assist with management of the Graduate School’s internal systems and provide on-going recommendations to enhance efficiency and effectiveness. In addition, the incumbent will perform other duties as assigned.</p>
<p>MINIMUM QUALIFICATIONS:	Education/Experience: Requires a Bachelor’s degree (Master’s degree preferred), preferably in information systems, business management or a related field and at least three years of experience in information systems management, end-user support, or a related field. The incumbent will have the proven ability to think strategically about management of information systems and processes. In addition, the Technology Coordinator will have excellent verbal and written communication skills, demonstrated ability to work with a wide range of audiences, and comfort with public speaking. Knowledge of PeopleSoft, as well as enrollment management experience is preferred. Experience with document management and imaging systems is a plus.</p>

<p>RESPONSIBILITIES: Reporting to the Director of Residential Life, the incumbent will be responsible for providing administrative support to the Director and the Department. <span id="more-858"></span>Specific duties include: managing the Director?s electronic calendar; scheduling appointments and engagements for the Director; receiving and screening telephone calls and visitors; making arrangements for and coordinating details of meetings; reviewing all incoming correspondence, email, and information and distributing to appropriate parties; composing replies to general inquiries; reading and editing outgoing correspondence for procedural, typographical, and grammatical accuracy; establishing and revising complex and sensitive filing systems; entering, updating, and retrieving information stored in files and databases; researching, analyzing, and summarizing information and source materials for reports, as well as communicating findings verbally; providing administrative support for professional searches; acting as an intermediary for executives; interacting with officials, staff at all levels, students, families, and conference guests; supervising and training assigned administrative personnel and student office assistant; and performing other duties as assigned.<br />
MINIMUM QUALIFICATIONS:	Education/ Experience: Requires a High School Diploma or GED and three years secretarial experience which included word processing. The ability to use independent judgment and take initiative is essential. Must have excellent written and verbal communication, organization, and customer service skills and proficiency in Microsoft Word and Excel or equivalent database management software. The ability to maintain confidentiality is required. Skills: Requires keyboard skills of a minimum of 40 correct words per minute. Must pass UMBC keyboard typing test prior to closing date.</p>
<p>SALARY: Pay Range 9 (starting at $30,305) based on a University System of Maryland Pay Program.</p>

<p><strong>Duties</strong></p>
<p>Under general supervision, this position supports and promotes the efficiency of the Facilities Management Division through effective accounting clerical and bookkeeping <span id="more-856"></span>services. This position processes all procurements, accounts payables transactions and provides budget tracking support for the office.   Duties include:</p>
<p>    * Assist in the preparation of bid requests, letters of intent and requests for proposals<br />
    * Maintain Material Safety Data Sheets and distribute to appropriate personnel<br />
    * Department Liaison to Office of Procurement and Facilities Management staff advising on<br />
       procurement policies and proper use of procurement cards within UB policy<br />
    * Responsible for maintaining proper documentation, signatures and receipts of expenditures for<br />
       procurement card program<br />
    * Perform electronic reallocation to proper account code for procurement card transactions<br />
    * Document and verify employees’ monthly credit card expenses; compile documentation and submit<br />
       to management for approval<br />
    * Liaison to vendors to correct errors in billing or to clarify apparent inaccuracies<br />
    * Assist in identifying procurement options, obtaining adequate information from vendors for<br />
       comparisons and obtain quotes to inform others in final selection process<br />
    * Initiate all purchase requisitions for Facilities Management for budget review and approval<br />
    * Assure that purchase requisitions are charged to the appropriate Facilities Management department<br />
       and account<br />
    * Maintain open and complete purchase order requisitions and modify as necessary<br />
    * Maintain and track purchases from initiation to receipt and expenditure posting<br />
    * Process all accounts payables for payment upon approval by the appropriate manager<br />
    * Maintain and track budget availability to facilitate expenditure transactions and prepares account<br />
       transfers for the review and approval<br />
    * Reconcile accounts payables against budget on a monthly basis for review<br />
    * Compile, track and maintain data electronically for reporting purposes to management, to include<br />
      expenditures to actuals reports, historical fiscal data, contract management, work order data, energy and carbon foot print usage, vehicle management, project expenses, vendor and contractor information and other data compilation and reporting as required<br />
    * Develop and maintain a complete records management system for all fiscal and contract files<br />
       consistent with UB audit policies and best practices for minimizing paper to the extent possible<br />
    * Provide telephone and front desk support in the absence of the Receptionist</p>
